Lookeen Server

One central index for your company’s email, files and archives – running on your own server. Lookeen Server checks permissions on every search, so people find exactly what they are allowed to see.

All sources, one search box

Lookeen Server pulls content from the systems you already run and keeps the index up to date.

File servers and network drives

Shares and local drives of the server, each on its own schedule – from continuous to one-off for closed archives.

Exchange on-premises

Mailboxes, shared mailboxes and public folders via EWS, connected through a dedicated impersonation account.

Microsoft 365

Exchange Online including online archives, plus OneDrive, OneNote and SharePoint document libraries via Microsoft Graph.

PST archives

Single PST files or whole folders of them, including those of former employees – without opening them in Outlook.

More than 300 file formats

Office, PDF, LibreOffice, email, images, CAD, archives and more – searchable by content, with preview and highlighted matches.

Scanned documents

Optional text recognition (OCR) makes scanned PDFs and images searchable – locally with Tesseract or through a cloud service of your choice.

Permissions that travel with the data

If someone has no access in Windows or Exchange, they won’t see the result in Lookeen either.

Rights from the source

While indexing, Lookeen Server reads the permissions of every file, email and public folder and stores them in the index.

In sync with Active Directory

Users and groups are synchronised from Active Directory or Entra ID. Anyone removed there loses access in Lookeen too.

Shared mailboxes and drives

Access to shared mailboxes and SharePoint libraries is imported automatically via PowerShell; delegations can also be granted by hand.

How your people search

In the browser

Search and preview work in any current browser – nothing to install, also on thin clients and in VDI sessions.

In the Lookeen app

The Windows app opens files on network drives and email in Outlook, and a hotkey brings it up from anywhere.

On the phone

Coming soon: the Lookeen app for iPhone and Android, connected to the server end-to-end encrypted.

AI across the whole company index

With Lookeen AI you ask questions in plain language and get answers with verifiable sources – across all the data you are allowed to see.

You choose the language model: the one included with Lookeen, your own OpenAI or Anthropic key, or a local model, for example via Ollama or vLLM. AI can be switched off and is off by default.

Runs in your infrastructure

Lookeen Server runs as a Windows service on your network. Index and data stay on drives you own.

Frequently asked questions

Where is the data stored?

Only on the server Lookeen Server is installed on. You choose where the index lives; for encryption at rest, use BitLocker for example.

Do employees need to install anything?

No. Search runs in the browser. The Lookeen app and the Outlook add-in are optional and can be rolled out via MSI.

How current are the results?

Lookeen Server indexes continuously. For each source you set how often it is checked and when indexing pauses, for example during working hours.

Can I test Lookeen Server first?

Yes. Get in touch – we set up a trial installation with your own sources.
